Cancellation, Refund, Transfer & Attendance Policy
Applies to: All Tribal Proving Ground events (including pilot and full-length events) and related registrations. ‘FORGE’ refers to any Tribal Proving Ground event requiring registration, screening/forms, and adherence to standards.
Purpose: Set clear expectations so the event runs on time, safely, and with the standard intact.
Definitions
Seat: Your paid spot in the event.
Check-In Window: Opens 90 minutes before the scheduled start time (unless otherwise stated).
Start Time: The published event start time.
PST Start Time: The moment the Physical Screening Test (PST) begins.
Late Arrival (No Entry): Arriving after the PST Start Time. You will not participate that day.
No-Show: Not arriving, or arriving after the PST Start Time (no entry).
Transfer / Seat Transfer: Moving your paid seat to a future event date (subject to availability and this policy).
Credit: A non-cash credit toward a future booking (same product only), issued per the timeline below.
Attendance & Late ArrivaL
- Check-In opens 90 minutes before Start Time. All participants must complete check-in and safety screening before the PST begins.
- No late entry once the PST begins. For safety and the flow of evolutions, no entry is permitted after the PST Start Time.
- Arrivals after the PST Start Time are recorded as a No-Show.
Participant Cancellations, Refunds & Credits
Refund/credit timing is based on the number of days before the scheduled event start time (local event time). Cancellations must be submitted in writing.
- Cancel within 72 hours of purchase for a full refund if the event start is at least 14 days away. If the event is less than 14 days away at the time of purchase, all cancellations follow the credit schedule below (no refunds).
- 14+ days before event: Cancel for a 100% credit toward a future date (valid 12 months).
- 2–13 days before event: Cancel for a 50% credit toward a future date (valid 12 months).
- Day-of / after start time / No-Show: No refund, no credit, no transfer.
- Injury / Medical Exception (Limited)
- If you experience an injury or acute medical issue that prevents safe participation within 48 hours of the event, contact us immediately in writing.
- At our discretion, we may offer a one-time seat transfer to a future date (same product), subject to availability.
- Documentation may be required. This exception does not apply to general soreness, fear of participation, scheduling conflicts, or non-medical reasons.
- No refunds are provided under this exception.
Transfers (Seat Transfers)
- Transfers move your paid seat to a future event date, subject to availability.
- One reschedule/transfer per purchase.
- Reschedules/credits must be used within 12 months of the original event date. No extensions.
- If you transfer, your original seat is released and may be offered to another participant.
- Transfer requests must be submitted in writing (reply to your purchase confirmation email).
- A transfer does not waive any screening requirements, forms, deadlines, or standards—those still apply to your new date.
- No reschedule fee: We do not charge a separate rescheduling fee.
- If pricing, taxes, or processing fees differ on the new booking, any difference must be paid at the time of rescheduling.
Credits & Seat Transfers (How They Work)
- Not transferable: Credits and transfers may only be used by the original purchaser/registered participant. They cannot be sold, gifted, or assigned.
- Same product only: Credits/transfers are valid only for the same product purchased (e.g., FORGE | 12 → FORGE | 12). They are not valid toward other events or products.
- Expiration: Credits/transfers expire 12 months from the original event date. No extensions.
- Reschedule limit: One reschedule per purchase.
Taxes & Fees
- 100% credit (14+ days): A 100% credit includes taxes/fees paid on the original order and is applied like-for-like to a future date. Credit is applied to the new booking total; if the new total is higher, you pay the difference. If lower, any remaining credit stays on file until expiration.
- 50% credit (2–13 days): A 50% credit applies to the base seat price only and does not include taxes/feesfrom the original purchase. Taxes/fees will be charged normally on the new booking.
Screening, Forms & Clearance
- Your seat is reserved upon purchase; your participation is confirmed once forms/clearance are completed by the deadline.
- Medical clearance is reviewed individually. We may require additional information or deny participation if we determine it is not safe.
- Safety-based denial: If you are denied participation solely for safety/medical clearance reasons (as determined by Tribal Proving Ground), you will receive a full refund.
Deadlines (Forms & Clearance)
- If you register 7+ days before the event: required forms/clearance are due no later than 7 days before the scheduled start time (11:59 PM local event time).
- If you register within 7 days of the event: forms/clearance are due within 24 hours of purchase and no later than 48 hours before the scheduled start time (local event time), whichever comes first.
Missed Paperwork / Missed Deadlines
- If you do not complete required forms/clearance by the deadline, you may be removed from the roster for operational reasons. In that case, your refund/credit eligibility follows the cancellation timeline above.
No-Shows, Early Exit & Removal
- No-Shows are not eligible for refunds, credits, or transfers.
- If you voluntarily leave early, you are not eligible for a refund.
- If you are removed for violating the Code of Conduct or safety rules, you are not eligible for a refund, credit, or transfer.
Event Changes, Weather & Force Majeure
- We may adjust the run-of-show for safety, weather, or operational needs without changing the core program.
- If Tribal Proving Ground cancels an event date (rare), you may choose a full refund or a transfer to a new date.
- If conditions require ending or modifying evolutions for safety (heat, lightning, etc.), the event may be altered without refunds.
Chargebacks
If you have an issue, contact us first and we’ll work to resolve it. Unauthorized chargebacks may result in seat cancellation and disqualification from future events.
